2. What Personal Data We Process

Depending on how you interact with Vizton, we may process information such as:

  • name

  • email address

  • company or organization

  • job title or position

  • messages and information you provide when contacting Vizton

  • BI Clarity Check responses and calculated results when these can be linked to you

  • information related to discussions about Vizton's services or potential cooperation

  • technical information generated when using the website, where applicable

We aim to collect only information that is necessary for the relevant purpose.

3. Why We Process Personal Data

Vizton may process personal data for the following purposes:

  • responding to enquiries and contact requests

  • discussing potential services, assignments or cooperation

  • reviewing BI Clarity Check results when you ask Vizton to discuss them with you

  • managing ongoing customer and business relationships

  • operating, maintaining and improving the Vizton website and services

  • complying with applicable legal and regulatory obligations

We do not use information submitted through the BI Clarity Check contact form to automatically subscribe you to marketing communications.

4. Legal Basis for Processing

The legal basis depends on the purpose for which the information is processed.

When you contact Vizton or ask us to discuss your BI Clarity Check results, processing may be necessary to respond to your request and to take steps related to a potential business relationship.

Where appropriate, processing may also be based on Vizton's legitimate interests in managing business relationships, responding to enquiries and developing its services.

Where processing is based on your consent, you may withdraw that consent at any time.

Personal data may also be processed where necessary to comply with a legal obligation.

5. BI Clarity Check

The BI Clarity Check is designed to help organizations reflect on the conditions that support effective Business Intelligence.

You can complete the assessment and view your results without providing your name, email address or company information.

When you complete the assessment, Vizton processes your answers, calculated dimension scores and assessment results. A unique assessment ID is created for the assessment.

If you choose Discuss my results, you may provide information including:

  • your name

  • email address

  • company

  • position

  • an optional message

Your contact information is linked to your BI Clarity Check assessment using the assessment ID. This allows Vizton to review your results before responding to your request.

Because the assessment can be linked to your contact information after you submit the contact form, the linked assessment information is treated as personal data.

BI Clarity Check information may also be used in aggregated or appropriately anonymised form to understand general patterns and to improve the assessment and Vizton's services. Information that has been genuinely anonymised so that individuals can no longer be identified is no longer treated as personal data.

6. How Long We Keep Personal Data

Personal information submitted through the Discuss my results form is normally retained for up to six months from submission.

Information may be retained for longer where an active business discussion, customer relationship, contractual relationship, legal obligation or other applicable reason requires continued retention.

Contact enquiries and other business information are retained only for as long as reasonably necessary for the purpose for which the information was collected and for applicable legal or contractual requirements.

Vizton periodically reviews retained personal information and deletes information that is no longer required.

7. Service Providers and Recipients

Vizton uses third-party service providers to operate its website, forms, workflows and data storage.

These services may include providers for:

  • website hosting and website forms

  • workflow automation

  • cloud productivity and data storage services

  • website analytics and related technical services

For example, services used in connection with the BI Clarity Check currently include Wix, n8n and Google services.

These service providers may process personal data on behalf of Vizton where necessary to provide their services.

Vizton does not sell your personal data.

Personal data may also be disclosed where required by law or where necessary to establish, exercise or defend legal claims.

8. International Data Transfers

Some of the service providers used by Vizton may process or make personal data accessible from countries outside Finland or the European Economic Area.

Where personal data is transferred outside the European Economic Area, Vizton relies on appropriate safeguards required by applicable data protection law, such as an adequacy decision by the European Commission or approved contractual safeguards where applicable.

9. Cookies and Website Analytics

The Vizton website may use cookies and similar technologies that are necessary for the website to function or that help Vizton understand how the website is used.

Where required, non-essential cookies and similar technologies are used based on the visitor's choices made through the website's cookie settings.

Further information about the cookies used on the website is available through the site's cookie settings or cookie notice.

  • obtain information about how your personal data is processed

  • request access to your personal data

  • request correction of inaccurate or incomplete personal data

  • request deletion of your personal data where applicable

  • request restriction of processing in certain circumstances

  • object to certain processing based on legitimate interests

  • receive personal data you have provided in a portable format where the right to data portability applies

Vizton may request sufficient information to verify your identity before fulfilling a request concerning personal data.

11. Right to Lodge a Complaint
